What the address is used for
Trade registry: the company's legal seat, shown in the articles of association.
Tax office: determines which tax office the company belongs to.
Official notices: tax, social security and court notices are sent to this address (and to the company's electronic notification box).
Workplace licence: if you operate from the address, the municipality may need to issue a licence.
The tax office inspection
After registration, a tax officer visits the registered address. The company's manager, or a person authorised by power of attorney, should be present to sign the inspection record. The officer typically checks:
That the address exists and the company's name is displayed.
That there is a lease or use agreement in the company's name.
That the space is suitable for the stated business activity.
Tax registration is completed once the inspection is successful.
Your options
| Option | Suits | Points to check |
|---|---|---|
| Own or leased office | Companies with staff from day one | Lease in the company's name; stamp tax on the lease; workplace licence |
| Serviced office or co-working space | Small teams, sales offices | Provider gives a dedicated desk and a use agreement accepted by the tax office |
| Virtual office | Holding structures, early-stage companies without local staff | Provider must be accepted by the tax office; confirm how mail and inspections are handled |
| Adviser's or partner's address | Short term only | Must still be a real, usable address with an agreement |
Lease and tax points
Withholding on rent: if the landlord is an individual, the company withholds income tax from the rent and declares it monthly.
VAT: rent paid to a company landlord usually includes VAT, which the tenant company can deduct.
Stamp tax: lease agreements attract stamp tax.
Changing address: notify the trade registry and the tax office within the legal time limit after the move.
